The following terms used shall have the following meanings:
“Personal Data” shall mean all data and/or information about your profession or your person.
“OrganisedMinds Websites” shall mean all websites on which OrganisedMinds provides the OrganisedMinds Services.
“OrganisedMinds Members” shall mean all registered users of OrganisedMinds on the OrganisedMinds Websites.
“OrganisedMinds Services” shall mean all registration based services provided by OrganisedMinds on the OrganisedMinds Websites.
“Registration Data” shall mean the Personal Data you are obliged to make available to OrganisedMinds in the registration process for the OrganisedMinds Services (mandatory fields).
“Profile” shall mean your Personal Data that you have made available to OrganisedMinds, which is displayed in accordance with your specifications and your consent.
2. BASIC PRINCIPLES OF ORGANISEDMINDS FOR HANDLING YOUR PERSONAL DATA
OrganisedMinds strictly adheres to the following basic principles to protect your Personal/Business Data:
OrganisedMinds shall collect, process and use your Data in accordance with the laws and statutes on data protection of the Federal Republic of Germany and those of the European Union.
OrganisedMinds shall use your Personal Data solely to provide you the OrganisedMinds Services on the Internet for which you have registered. OrganisedMinds will never pass your Personal Data on to any third party, neither for advertising, nor for marketing or for any other purposes.
3. WHAT DOES ORGANISEDMINDS KNOW ABOUT YOU AND WHAT HAPPENS WITH YOUR PERSONAL DATA?
3.1 REGISTRATION DATA
In order for the OrganisedMinds Services to work properly, OrganisedMinds needs to collect and process certain elements of your Personal Data in the course of the registration process. First of all, this consists of the following data:
Your password is never visible to any OrganisedMinds Member at any time. OrganisedMinds shall never disclose or pass your password on to any third party.
Furthermore, you will need to fill out certain mandatory fields in the course of the registration process, such as:

3.2 VOLUNTARY DATA
If you wish, you may provide additional information about yourself apart from the mandatory data on a voluntary basis (hereinafter referred to as “Voluntary Data”). Part of the voluntary data are:
We may use this information to help you collaborate and get up and running with processes that are geographically sensitive (e.g. standard public holidays).
You can revoke Voluntary Data at any time by deleting the data in question from your profile.
4. WORKSPACES AND TEAMS
OrganisedMinds offers its Members the ability to create Workspaces and Teams.
Each Workspace has one or more Owner. The Owner decides whether the Workspace is public or only accessible to a particular group of people, and who has read and/or write access. This information can be viewed in the Workspace settings
Please note: if a Workspace has been marked as “public” and if the Workspace Owner has not restricted access, the contents of the Workspace can be seen by all OrganisedMinds-Members
Each Team has one or more Owner/Manager. The Owner decides whether the name, decription and member-list is visible to all OrganisedMinds-Members or not.
As an OrganisedMinds-Member you can invite other persons to OrganisedMinds. OrganisedMinds processes the collected Data on your behalf only to help you get organised (e.g. to find and collaborate with colleagues on the OrganisedMinds platform).
OrganisedMinds sends an automatic reminder to the invitees several days after the original invite on behalf of the OrganisedMinds-Member in which the invitee is presented with the possibility of objecting to the use of their email address.
6. NEWSLETTER, DAILY/WEEKLY REPORT
OrganisedMinds regularly sends out newsletters to all OrganisedMinds Members. In these newsletters and Reports OrganisedMinds may inform you, among other things, about new features on OrganisedMinds, and give you useful hints concerning management and organisation of work.
You may choose to unsubscribe from the newsletter and/or Reports at any time by changing the notification settings in your profile.
7. COOKIES, ANALYTICS AND SOCIAL PLUGINS
“Cookies” are small files that enable us to store specific information related to you, the User, on your PC or other end device while using the OrganisedMinds services. Cookies help to analyze usage frequency, the number of people who use our website, and to tailor our service offering to your needs.
After you have logged in to the OrganisedMinds Services with your username and password, OrganisedMinds uses so-called “session cookies” in order to identify you during the course of your session. Upon the termination of your session, the session cookie will be automatically deleted. You can save session cookies on your computer to enable automatic login for subsequent sessions by activating the function: “Remember me / Login automatically on this computer”. Session cookies will then store parts of your login data in encrypted form. If you select automatic login, please be aware that this will then only be possible on the same computer on which the cookie was first saved, i.e. an automatic login on two (2) different computers is not possible.
OrganisedMinds Services also use “permanent cookies” to record information about visitors to the OrganisedMinds Websites who repeatedly use the OrganisedMinds Services. Permanent cookies are designed to help us continually improve the products and services we offer you. Permanent cookies do not contain personal information such as your name, IP address, etc., meaning that we do not generate profiles based on user behavior.
You can edit the settings of your browser to prevent cookies from being stored, to limit the storage of cookies to certain websites, or such that your browser informs you every time a cookie is sent. You can also delete cookies from your PC’s hard drive at any time. However, please note that you will not be able to take advantage of the OrganisedMinds Services if session cookies are deactivated.
Third-party cookies could also be stored on your PC or end device when using OrganisedMinds and/or OrganisedMinds applications which are partially or entirely provided by third parties. You can prevent such cookies from being stored in your browser by adjusting the browser settings accordingly.
In the event of rendering the IP on this website anonymous, your IP address will however first be shortened by Google within the member states of the European Union or in other contractual states of the EEA Agreement. Only in exceptions will the full IP address be sent to a Google server in the USA and shortened there. IP anonymisation is active on this website. On behalf of the operator of this website, Google will use this information to evaluate your use of the website, to generate reports about the website activities and to provide the website operator with additional services connected with the use of the website and the Internet.
The IP address determined by Google Analytics from your browser will not be added to other data by Google. You can prevent the cookies being saved through a corresponding setting of your browser software; we would however like to point out that in this case you might not be able to fully use all functions of this website. You can additionally prevent the recording of the data generated by the cookie and related to your use of the website (including your IP address) by Google as well as the processing of this data by Google by downloading and installing the browser plug-in available under the following link: http://tools.google.com/dlpage/gaoptout.
7.3 SOCIAL PLUGINS
Our website features social networking plug-ins from Facebook – the “Like” and “Share” buttons – in order to make the website more personal. This service is provided by the US company Facebook, Inc. (1601 S. California Ave, Palo Alto, CA 94304, USA).
When you access one of our pages with these plug-ins, your browser establishes a direct link with the Facebook servers. The content of these plug-ins is transmitted directly from Facebook to your browser and then integrated into the website.
Via the integration of plug-ins, Facebook receives the information that your browser accessed the relevant page of our website, even if you do not have a Facebook account or are not logged in to Facebook at that point. This information (including your IP address) is transmitted from your browser directly to a Facebook server in the US and saved there.
If you are logged into Facebook, Facebook can link your visit to our website with your Facebook account. When you interact with the plug-ins, such as the “Like” or “Share” buttons, the relevant information is transmitted directly to a Facebook server and saved there. The information will then be published on Facebook and will be visible to your Facebook friends.
Facebook may use this information for advertising and market research purposes, as well as for the customization of Facebook pages. To this end, Facebook creates profiles based on usage, interests and relationships in order to evaluate your use of our website with regard to the advertisements displayed to you on Facebook, for example, or to inform other Facebook users about your activities on our website and to provide further services related to the use of Facebook.

Our Web pages feature the “+1” button from the social network Google Plus, which is operated by Google. The “+1” button is shown on a white or color background.
When you access one of our pages that features this button, your browser establishes a direct link with the Google servers. The content of the “+1” button is transmitted directly from Google to your browser and then integrated into the website. This means we have no influence over the amount of data Google can access via the button. According to Google, no personal data is retrieved if the user does not click on the button. Such data, including the IP address will only be retrieved and processed for members who are logged.

If you are a Google Plus member and do not want Google to collect data about you via our website and to link this with your membership data stored by Google, you need to log off from Google Plus before going to our website.
Our website features plug-ins from the messaging network Twitter, Inc., 795 Folsom St., Suite 600, San Francisco, CA 94107, USA. The Twitter plug-ins (tweet button) on our site feature the Twitter logo. You can see an overview of the tweet button here. When you access one of our pages with these plug-ins, your browser establishes a direct link with the Twitter server. Twitter then receives information that you visited our site using your IP address. If you click on the “tweet” button while you are logged into your Twitter account, you can link the content of our pages to your Twitter profile. This means that Twitter can assign your visit to our site with your user account. We would like to indicate that, as the website provider, we are aware of neither the content of the data transmitted to Twitter nor of the purposes for which it may be used by Twitter. 8. LOG FILES
Each time you access a website from the OrganisedMinds Websites, OrganisedMinds will save the following data in a log file (the so called “server log”):
The time, status, and amount of the transferred data, as well as the website from which you have reached the requested page of the OrganisedMinds Websites (the so-called “referrer”)
The product and release information from your Internet browser (the so called “user agent”).
This log file will be stored by OrganisedMinds in the standardized “combined” log file format for the nginx web server. OrganisedMinds will not store your IP address once you leave the OrganisedMinds Websites. Except for legislation regarding the storage of data, Users’ IP addresses will be deleted or anonymized once they end their session on the OrganisedMinds Websites. Anonymisation means that IP addresses are modified in such a way that specific personal and/or factual information cannot be attributed to a certain identified or identifiable person or can only be attributed by deploying a disproportionately large amount of time, effort and cost.
OrganisedMinds uses the data from this log file in anonymous form without reference to your person for statistical purposes. In doing so, OrganisedMinds may analyze on which days and at which time the OrganisedMinds Websites are particularly frequented and how much data volume is created on the OrganisedMinds Websites. Furthermore, by using the log file, OrganisedMinds can identify defects on the OrganisedMinds Websites, such as defective hyperlinks or program defects, and thus continually improve the quality of the OrganisedMinds Websites. OrganisedMinds does not attribute the website demands stored in the log file to specific individual users. However, OrganisedMinds reserves the right to review the log files if OrganisedMinds has reasonable cause to believe that the member is using OrganisedMinds Services and/or OrganisedMinds Websites in breach of contractual agreements or the applicable legislation. In doing this, OrganisedMinds is protecting other OrganisedMinds Members, the safety of OrganisedMinds Members’ data, as well as OrganisedMinds Websites and the OrganisedMinds Services.
